One of the most underused features of the Z Track Professional and Enterprise plans is the multi-user, role-based access system. Most fleet operators start with a single admin login, but as the team grows, sharing one set of credentials becomes impractical and insecure. Here's how to set up proper access control for your entire team.
Understanding User Roles in Z Track
The Z Track platform supports four access levels:
Owner/Admin: Full access to everything — all vehicles, all settings, billing, user management, and all reports. Typically the business owner or fleet director.
Fleet Manager: Can view all assigned vehicles in real time, access all reports, configure alerts and geofences, and use the engine cut-off feature. Cannot access billing or create other users.
Supervisor: Read-only access to vehicle locations and basic reports for their assigned vehicles. Cannot configure settings or cut the engine. Ideal for shift supervisors who need visibility without control.
Driver: Access only to their own vehicle's location and their own trip history. Cannot see other vehicles. Useful for self-monitoring and trip verification.
Setting Up Users
From your Z Track dashboard, go to Settings → Users → Add User. Enter the person's name, email, and phone number, select their role, and assign them to specific vehicles or groups. They'll receive an email with login instructions. You can revoke access at any time instantly.
Vehicle Groups
For larger fleets, create vehicle groups by city, department, or vehicle type. Assign supervisors to specific groups so each person only sees the vehicles relevant to them. A Karachi supervisor sees Karachi vehicles; a Lahore supervisor sees Lahore vehicles.
Audit Log
The Enterprise plan includes a full audit log showing which user took which action and when — engine cut-offs, setting changes, report exports, and login history. Invaluable for compliance and accountability.
